Job Description

The Vancouver Airport Authority is a community-based, not-for-profit organization that manages Vancouver International Airport (YVR). As Canada’s second busiest airport, YVR served 17 million passengers in 2011, facilitated 258,000 take-offs and landings and handled more than 224,000 tonnes of cargo.

The Vancouver Airport Authority recently announced a 10 year, $1.8 billion capital program that will ensure YVR meets the growing demand for air travel and continues to be developed as a premier global gateway and economic generator for British Columbia.

YVR Project Management (YVRPM) is a wholly owned subsidiary of the Vancouver Airport Authority that was established in 2005 to oversee major expansion projects at YVR. With a reputation for delivering projects on time and on budget, YVRPM is looking for a talented, results-driven permanent full-time Executive Assistant to the President to join the team.

Key responsibilities include:
  • Supporting the President, YVRPM and the project office
  • Working independently with a high level of professionalism, confidentiality, judgment and discretion
  • Maintaining calendars, including scheduling and organizing multi-party meetings
  • Making travel arrangements and coordinating special events
  • Preparing correspondence which includes responding to general customer and business partner inquiries
  • Performing general reception duties such as placing orders for courier pick-ups and drop-offs, arranging for security passes for guests and answering general inquiries from visitors to this high traffic location

Key qualifications include:
  • Minimum of 5 years’ demonstrated administrative support experience at the management and/or executive level
  • Experience working with the construction, design and project management fields in order to work on special assignments, including the production of very complex Project Definition Reports for new expansion projects at YVR and other international airports
  • Exceptional MS Office skills in order to prepare correspondence, reports, spreadsheets and presentations, in addition to maintaining budget files and databases
  • Excellent interpersonal with the ability to deal with internal and external stakeholders
  • Strong writing skills with attention to detail
  • Proven self-starter who thrives in a fast-paced and challenging environment with shifting priorities; ability to handle deadlines
  • Flexibility in regards to work tasks, as well as working hours in order to meet the demand of the project schedules and fluctuating pace of daily activities
  • Comfortable working in a construction environment
