We currently have an opening for Administrative Assistant, Maintenance (YYZ).
SUMMARY OF RESPONSIBILITIES:
- Update and maintain maintenance department employee files;
- Creating reports (including overtime and productivity) from data in a timely fashion;
- Completing the employee schedule; receiving, reviewing and approving timesheets and sending them to the payroll department;
- Ensure the accuracy of the employee activity report;
- Make regular updates to the Skytrack Shift Master data tables;
- Reviewing employee time on the supervisor work screen in Skytrack on a daily/weekly basis;
- Coordinating with payroll prior to the closing of each payroll period and also working with them to resolve any discrepancies with any individual employee;
- Producing monthly status reports for employees and managers summarizing banked, sick and vacation time usage and balances;
- Submitting appropriate documentation for new employees, including submission of change requests to IT for any necessary Skytrack setup (new users, change of department, change of skills, etc.);
- Supporting contractor invoice verification process as required;
- Acting as a backup when other Administrative Assistants are unavailable.
QUALIFICATIONS AND SKILLS REQUIRED:
- At least one (1) year of administrative experience in a computerized environment;
- Proficient in the use of Microsoft Office Products;
- Ability to work under pressure and possess excellent organizational skills;
- Very detailed oriented with a focus on process improvement;
- Ability to review own work for accuracy and thoroughness;
- Aviation experience, an asset;
- Strong communication skills.
EDUCATION:
- Post-secondary education in a related field, an asset.
