This position shall report to the Manager,
Canada Operations. Primary responsibilities will be to coordinate and execute
travel programs for Entrée Canada and ensure the smooth operation of trips from
making the initial supplier reservations through to actual trip operation and
post trip follow up. In short, The Travel Operations Coordinator is 100%
responsible for setting up and delivering flawless trips for our high-end
clients – and we have lots of them.
Duties will include:
- Coordinate with the Entrée Canada Sales team on file turnovers and the
smooth implementation of client’s trips.
- Coordinate supplier reservations for confirmed trips and track that all file
components have been confirmed (utilizing our reservations system).
- Track and ensure receipt of relevant forms from clients and charge credit
cards for customer payments.
- Maintain good relationships with clients, offer excellent customer service
& find ways to exceed client’s expectations.
- Maintain effective relationships with suppliers, troubleshooting when
required.
- Prepare files for our documentation department, editing travel itineraries
where required.
- Responsible to ensure that every trip is planned and executed correctly,
including reservations, documentation, and supplier reconfirmations.
- Troubleshoot operational field difficulties as they may arise.
- Share 24/7 response of emergency call coverage. This includes during the
work day, evenings and weekends
- Touch base with clients throughout their trip to ensure all expectations are
being met or exceeded and after the trip as required to ensure they are
satisfied with the programming and service received by Entrée Destinations.
- Meeting clients at the Airport or Cruise Ship terminal as required.
- Other General Office Duties when required to include; answering telephones,
database updating, filing, etc.
- Ordering, organizing and the documentation of welcome amenities for our
clients.
- Maintaining a trips schedule and up to date Operations Calendar.
- Making dinner reservations as required.
- Liaising with our accounting team for accuracy of supplier invoices,
payments, accounting forms etc.
Job Requirements
Qualifications:
- At least two years of previous relevant experience in the travel industry
(preferably with a tour operator, wholesaler or Destination Management Company)
- Product knowledge of Canadian hotels, resorts and travel services
- Proficiency in Microsoft Word, Excel, Internet and e-mail applications.
Experience with Tourplan an asset.
- Strong communication skills - experience in communicating with travel agents
and their clients preferred
- Strong organizational skills
- Excellent attention to detail and an understanding of a high level of
customer service
- Ability to multi-task and meet strict deadlines in a fast paced environment
- Ability to work independently, as well as part of a team
- Fluency in the English language (written & spoken)
- Commitment to the entire term of the contract is
essential
