RECEPTION / CUSTOMER SERVICE SPECIALIST - BILLY BISHOP TORONTO CITY AIRPORT
This position is responsible to manage the front-desk, respond to telephone inquiries, greet and attend to the needs of airport tenants, customers and visitors. The Reception / Customer Service Specialist will assist with arranging appointments and answer questions regarding proper completion of Restricted Access Identity Card application process.
This role also provides administrative support for the day-to-day operation of the Airport office and reports to the Airport Administration Manager.
Major Responsibilities:
Reception
- Greet and welcome visitors, determine the nature of visits and advise staff of visitor arrival
- Respond to telephone inquiries, give out information, take messages and redirect calls
- Liaise with external individuals and provide information regarding various services, i.e.: ferry hours, shuttle bus, parking, landing fees, etc.
Administration
- Provide general office assistance, including data entry, filing, faxing, photocopying, etc.
- Prepare purchase orders, invoices, credits, cheques and forms/notes
- Process payments for landing fees
- Prepare monthly report to Finance, including fuel billing, landing fees, Restricted Area Identification Card passes, commission sales, water and hydro billing, etc.
- Close all batches, monitor to ensure all outstanding invoices paid to the vendors
- Key/enter bi-weekly Payroll data
- Make appointments for Restricted Area Identity Card passes, Airside Vehicle Operation Permits, etc.
- Administer and grade Airside Vehicle Operation Permits test
- Make Boardroom reservations and boardroom hospitality arrangements
- Process, sort and distribute daily incoming and outgoing mail and deliveries
- Order office supplies as required
- Provide cover off duties for Pass Control/Administrative Assistant
SKILLS AND QUALIFICATIONS:
- Post-secondary education with a Degree, Diploma or Certificate in Office Administration or equivalent.
- Minimum three (3) years providing direct office administration and support
- Knowledge and experience with Aviation and Airport Operations a strong asset
- Must possess the ability to hold a Transport Canada clearance within the Airport Restricted Area Pass Program
- Superior interpersonal skills, able to interact with all levels in a professional, positive manner, able to building relationships and be a team player
- Superior Customer Service skills, being friendly and approachable
- Excellent communication skills both oral and written, including a strong knowledge of grammar, spelling and proof-reading abilities
- Advanced computer skills with Microsoft Office products
- Able to compose correspondence and prepare professional documentation, letters, memos, reports, presentations, spreadsheets
- Highly organized, possessing a solid ability to plan and follow up
- Possess sound judgment and the ability to effectively problem solve and/or escalate accordingly
- Resourceful self-starter, able to work independently and within a team environment
- Able to handle a variety of projects and produce work with a high degree of accuracy and attention to detail
- Able to multi-task, manage and meet deadlines and adapt easily to change
- Bilingual or working knowledge of French an asset

Compensation: Low $30,000 plus a competitive benefits package
