Our Terrace Location is seeking an experienced administrative professional to support our diverse operations for a maternity leave coverage on a full-time basis. This is a one (1) year contract/term position which will work Monday through Friday 40 hours per week.
Responsibilities:
• Performs general administrative duties, including but not limited to: preparing packages/documents, writing letters/announcements, filing, faxing, scanning, photocopying, etc.
• Assist with maintaining organization and general cleanliness of the office and office areas.
• Organize catering and arrange for transportation/hotels as requested.
• Maintain a strong knowledge of all areas of emergency and security procedures including alerting procedures.
• Organize fuel, transportation, aircraft services, parking hangarage, etc.
• Maintain a flight watch system in order to monitor a flight’s progress and future requirements.
• Collect, maintain, calculate and accurately complete the proper billing amounts and rate quotations on the appropriate flight forms for each activity within the operation.
• Provide flight information to crews and 3rd party companies.
• Create, monitor, and report on weekly and monthly logistics key performance indicators.
• When required provide operational information and other potential business opportunities to management.
• Act as a key point of contact to external groups including; passengers, crew, service providers and airport operations.
• Meet and greet passengers and crew.
• Work closely with all departments to provide information as requested as it relates to daily, weekly and monthly activities.
• Build and maintain positive relationships with customers.
• Safety Committee member.
• Passenger check-in responsibilities as assigned.
• Maintain a tidy and orderly work area exhibiting pride in work performance and contributing to a healthy and safe work environment.
• Ensure exceptional, courteous and respectful customer service through compliance and participation in the Company’s Step Up to Customer Service Program.
• Comply with and participate in the Company’s Health & Safety and Quality programs and initiatives.
• Perform any other duties as required.
Qualifications and Experience:
• Completion of High School Diploma
• Valid Class 5 Driver’s License - No Graduated Driver’s License.
• A certificate or diploma in a related field is preferred.
• 1-3 years of direct working experience in the aviation field is preferred.
• Strong customer service skills, friendly demeanour and professional presence are required.
• 2 or more year’s administrative experience is required.
• Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint is required.
• Strong attention to detail and accurate data entry skills are required.
• Must be highly motivated and able to work independently as well as in a team environment.
• Time management skills with the ability to meet/exceed deadlines are required.
• Excellent analytical and problem solving skills.
• Strong written, verbal and interpersonal skills to communicate with all levels of the organization.
• A high level of confidentiality and professionalism is required.
