The Vancouver Airport Authority has a full-time term opportunity (till March 2017) for a Concession Leasing Assistant in the Commercial Services Department (CMS). Reporting to the Manager, Commercial Leasing, the successful candidate will provide general lease administration, coordinate the RFP process, attend to all concession leasing enquiries from the public and internal tenants, and regularly compile key reports.
Key responsibilities include:
- Compiling all finalized leasing, licensing and supplemental agreements and correspondence
- Distributing and monitoring legal and financial documentation
- Creating new, and managing existing reports (e.g., monthly gross revenue sales report, bi-monthly lease expiry report)
- Coordinating RFP process by compiling lists of prospective tenants, putting together RFP packages, monitoring the closing of RFPs, and summarizing evaluations
- Answering incoming leasing enquiries and advising interested parties of the concession leasing process
- Entering details of all parties who have expressed interest in leasing space in MS Access database
- Liaising with the Finance department to ensure that all information related to new and amended agreements are provided for the billing cycle
Key qualifications include:
- High school diploma or equivalent
- Solid verbal and written communication skills with the ability to correspond with a high level of professionalism with internal customers
- Demonstrated knowledge of leases, the leasing process and the RFP process
- Proven experience with billing and reporting systems; experience with PropWorks is an asset
- Strong MS Office skills, especially Word, Excel and Access; experience with internet research
- Proven accuracy and attention to detail with exceptional administrative skills
- Effective relationship building skills; this includes the ability to follow-up assertively for information and pending documentation, as well as the ability to solicit information
- Ability to multitask and work within tight timelines
- Ability to handle confidential information
