Position Summary
Reporting to the Associate Director, Deicing Operations, and assisting Deicing Operations Management, this position acts as a liaison between the Associate Director and the departmental management teams to track major tasks, projects and programs, and report on the department’s progress in achieving goals.


Job Description
Key Accountabilities:
·         Organize, coordinate and control the office administration and support activities within Aviation Service areas in order to ensure departmental effectiveness and efficiency
·         Negotiate, manage and resolve issues and implementing administrative best practices
·         Provide administrative support services to the Deicing Operations Management team, including filing and maintenance of the departmental filing systems, data verification, coordinating schedules, training and travel, managing departmental correspondence
·         Coordinate meetings, committees, working groups, special events, etc. by ensuring appropriate set-up of facilities, sending invitations and notices to attendees, preparing agendas, presentations and minutes, and following-up on action items
·         Administration and control of the financial systems and procedures required for the preparation and management Deicing Operations Department O&M budget, financial commitments, expenditure control and contract administration
·         Assist Deicing Operations Management in preparation of budget and forecasts
·         Maintain a variety of monthly, quarterly and annual reports on behalf of the department
·         Support Deicing Operations Management by assigning and tracking tasks/projects delegated, additional duties will be assigned as required, which may include performing additional support functions

Job Requirements
Qualifications
·         Must possess a Post-secondary diploma/certificate in business administration or a related field
·         At least 5 years of work experience is required in an administrative/financial support position in a high pressure, goal oriented operational type environment (an equivalent combination of academic and work experience will also be considered)
·         Demonstrated experience in financial administration including budget forecasting, preparation, reporting and control in a multi-OU environment
·         Must be able to obtain and retain a Transport Canada Security Clearance


Knowledge, Skills and Abilities:
·         Knowledge and experience working with the Oracle and Hyperion Financial Systems, and proficiency is also required using a variety of business software applications including MS Word, Excel, PowerPoint, Outlook and i-share
Superior communication (oral, written and listening) and interpersonal skills
Excellent time management skills, managing the workload in a fast-paced, deadline oriented environment
High degree of discretion as this person, through the support provided to the Associate Director, Deicing Operations and the Deicing Operations Management team, will have access to sensitive, confidential and classified information
