New Posting - Vancouver Airport Authority

The Vancouver Airport Authority has one permanent full-time and one term full-time until March 2017 opportunities for a Receptionist and Office Coordinator in the Executive Office department.  Reporting to the Executive Assistant to the President and CEO, the successful candidates will be responsible for the smooth operations and appearance of reception and general office functionality.



Key responsibilities include: 
  • Present professional and welcoming first contact to guests, tenants, vendors and staff in person and on the phone
  • Receive and dispatch couriers; distribute mail as required
  • Provide office coordination support to management when required
  • Receive tender documents  ensuring deadlines are met and marking packages appropriately
  • On behalf of Health & Safety, manage Wellness Program,  maintain database, log claims, coordinate and distribute wellness awards to employees 
  • On behalf of Parking & Ground Transportation, maintain Parking Pass database, issue passes and track passes for audit purposes 
  • Provide assistance with typing, document distribution and database entry. 
  • Handle Common-use Vehicle Program with responsibility for key safekeeping
  • Provide assistance to staff in booking meeting rooms, coordinate catering pick-up if necessary
  • Ensure office common areas are maintained for appearance and functionality, particularly meeting rooms
  • Ensure office equipment is well maintained, report any problems and follow-up on repairs
  • Draft office protocol when necessary
  • Coordinate and assist with office moves/relocation when required
  • With management approval, arrange disposal or storage of surplus supplies
  • Order stationery and beverages and maintain inventory 
Key qualifications include:
  • At least two years’ post-secondary education or completion of a college certificate or diploma, preferably in an administrative field.
  • Recent, related administrative experience
  • Excellent working knowledge of MS Office (including Excel and Word) 
  • Strong organizational skills in order to multitask and work under pressure
  • Solid people skills with the ability to work within a team
