Our Edmonton location is seeking an experienced Operations Coordinator to support our diverse operations.
Main Functions: The Operations Coordinator, under the direction of the VP Airport Services, is responsible for supporting the Operations and Management Team in an administrative capacity related to customer service, quality, safety, airport services and fuel operations.
Responsibilities: • Provide administrative support and assistance to the VP Airport Services, Manager of QA, Systems Safety Manger and other members of the Operations Management Team. • Assist the Operations Management Team with building, developing, organizing, maintaining, editing, formatting, auditing, communicating and distributing internal/external corporate correspondence including but not limited to; documents, proposals, quotations, manuals, contracts, agreements, letters, announcements, reports, charts, graphs, spreadsheets, presentations, policies, programs and procedures. • Monitoring and overseeing all Executive Flight Centre’s reports surrounding Irregular Operations, on-time performance, aircraft and passenger movements, KPI's within Industrial Charter Operations and Aerodromes • Contribute to and/or develop corporate correspondence to RFPs and RFQs, • Oversee Safety Management System (SMS) reporting, tracking and any required follow up. • Maintain a strong knowledge of all areas of safety and emergency procedures including alerting procedures. • Assist in conducting assigned audits for quality and safety departments. • Attend internal / external meetings as required and work closely with all departments to provide information, actions and deadlines as related to daily, weekly and monthly activities and initiatives. • Communicate with Airport Authorities, Customers, and Legal Teams, as required. • Build and maintain positive relationships with all Executive Flight Centre bases, management, customers and staff. • Maintain a tidy and orderly work area exhibiting pride in work performance and contributing to a healthy and safe work environment. • Ensure exceptional, courteous and respectful customer service through compliance and participation in the Company’s Step Up to Customer Service Program. • Comply with and participate in the Company’s Health & Safety and Quality programs and initiatives. • Provide direct support to the VP Airport Services • Perform other duties as required.
Special Requirements Qualifications and Experience: • Certificate or Diploma in Business Administration (or current enrolment in program) is preferred. • Minimum of two (2) years of progressive administration experience is required. • Aviation experience including an understanding of ramp, fueling and customer service operations would be considered an asset. • Well-developed interpersonal, written and verbal communication skills, with the ability to communicate with individuals at all levels of the organization. • Flexibility and proven experience in balancing competing priorities and juggling a variety of responsibilities. • Strong problem solving and decision-making skills, including the ability to exercise independent judgment. • Strong time management, organizational, and prioritization skills, with high attention to detail. • Self-motivated and self-directed with a demonstrated ability to work with minimum supervision in a fast-paced, dynamic environment. • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times; must have a professional appearance and mannerisms. • Ability to work in a confidential capacity; high level of professionalism. • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint. • Able to work extended hours, if required. • Able to work collaboratively as a productive member of the EFC Team.
