The Pacific Flying Club is currently recruiting a new position – Business Manager
The Club’s Chief Financial Officer has been with the Club 25
years and is planning to retire from full time within 1 year and move to part
time two days per week. She currently handles relationship management,
budgeting, strategic planning, marketing, financial reporting and all paperwork
associated with BCIT, dispatch supervision, HR, provincial regulatory reporting
and student tracking. Approximately 40% of her position is high level and
60% is what she would term as more task oriented. Her position has
demanded a lot of desk work and administrative oversight and management as well
as chasing others in the organization to keep the school running smoothly from
an operational and regulatory standpoint. The Executive Director has relied on
her for administrative oversight of all areas of the Club’s operations so that
he can concentrate on flight operations and safety oversight. She is
looking to unload the day to day oversight of her position and be available an
average of two days per week to continue with managing the relationships the
Club has developed and financial oversight in conjunction with a bookkeeper who
works full time at the Club.
Broad Overview of Responsibilities & Reporting
Structure
- Supervision of a staff of 4-6 people including both full and part time
- Ensure office processes are followed and internal audits conducted periodically to assess compliance
- Responsible for all provincial regulatory reporting and documentation per regulations
- Student and member relationship management including answering queries, handling student issues or directing to right source, Student Aid BC documentation
- Tracking BCIT student progress, collating marks for all BCIT courses
- Ensuring all paperwork is accurate and meets all reporting deadlines
- The position will report directly to the Executive Director
- Assist Executive Director in marketing initiatives
Previous Experience Required
- Experience in small operation and understanding of small business processes
- Previous supervision of office staff
- Previous experience in working in a cross functional team environment
- Experience in regulatory reporting
- Experience in working in a deadline driven environment
- Accounting background an asset but not a requirement
- Marketing experience an asset
- Experience in aviation or post secondary education an asset
- - Strong attention to detail
- - Able to work independently in meeting multiple deadlines and setting priorities once trained
- - Able to lead a team of 4-6 front desk personnel
- - Able to work with a cross functional team of management in ensuring all administrative requirements are met
