Position title: Administrator, Global Training and Logistical Support Reports to: Senior Manager, Global Training Location: Montreal, Canada
I. Areas of Responsibility:
- Assist with managing the ACI Global Training Business to Customer (B2C) and Business to Business (B2B) communications activities.
- Coordinate ACI Global Training registration process.
- Process registrations and billing for all GT and DNA Courses.
- Manage the course logistics and materials for all ACI Global Training (GT) Programmes
- Manage instructor flight and hotel bookings for GT courses, as needed;
- Assist in processing of registrations for all GT Courses;
- Answer e-mail queries for the main e-mail training inbox.
- Provide additional administrative support to the GT managers, as required
II. Major Duties and Accountabilities:
- Administer logistical and administrative tasks such as:
- Respond to all member and customer queries and messages, by e-mail, phone and fax in a timely manner.
- Prepare all the course logistics for all GT and provide back-up logistical support for the DNA programmes
- Update daily as required, the annual training calendar with the supporting information for course registrations.
- Update the AMS with the required information as it relates to GT courses and students as directed by the GT administrator
- Update and maintain accurate training records.
- Administer the booking of instructor flight and hotels, which includes:
- Getting quotes for instructor flights and hotels for the GT managers
- Follow-up with instructor to determine that they have all their travel details and documentation for the required course
- Department administration and quality management duties which includes:
- Assist with the updating of ACI GT departmental working instructions (WI) and standard operating procedures (SOPs).
- Familiarization with the ACI’s association management system (AMS), manage and maintain course database and training records.
- Liaise and coordinate with printing and shipping suppliers for the deployment of course materials
- Tracking of shipments to ensure that it reaches the final destination within the scheduled timeline
- Perform back up for the GT Administrator duties in the event they are unavailable
- Handle other duties as required
III. Experience
- Minimum 2 years’ experience (post qualification) in an administrative position with a training institution
- Proficient in MS Office (Excel, Word), Outlook
- Familiarization with Microsoft Dynamics CRM would be considered an asset

- Establish and maintain good relationships with other staff members,
- Carry out administrative tasks required effectively, accurately and in a timely manner
- Excellent written and spoken English and French. A third language would be an asset.
