New Posting - Vancouver Airport Authority

The Vancouver Airport Authority has a permanent, full-time opportunity for an Administrative Coordinatorin the Marketing & Communications Department.  Reporting to the Director, Marketing & Communications and Director, Air Service Development, the successful candidate will provide administrative support to the Directors and the Air Service Development and Marketing & Communications teams.


Key responsibilities include:
  • Maintaining budget, including purchase orders and tracking, administration and reconciling invoices
  • Supporting business planning activities
  • Scheduling and organizing meetings
  • Providing calendar, voicemail and email support to the Directors
  • Maintaining databases for the department
  • Maintaining passenger and cargo databases and publishing information internally
  • Preparing correspondence, reports, presentations and spreadsheets
  • Taking and distributing minutes
  • Scheduling, planning and finalizing all aspects of travel
  • Responding to inquiries from stakeholders and the general public
  • Conduct tours of the facility and processes for airlines or business partners
  • Performing administrative tasks to support the overall Marketing & Communications and Air Service Development programs
Key qualifications include:
  • Minimum of two years’ post-secondary education or completion of a college certificate or diploma
  • A motivated self-starter with at least three years of experience providing administrative support
  • Excellent comprehension of internal purchasing, budgeting and accounting processes for budget management
  • A team player with exceptional interpersonal and communication skills
  • Demonstrated ability to organize and schedule people and tasks
  • Proven relationship skills with the ability to work with key interdepartmental stakeholders
  • Strong multitasking skills with the ability to meet deadlines
  • Professionalism, diplomacy and good judgment in dealing with confidential and sensitive issues
  • Computer proficiency in MS Office (Word, Excel, Outlook, Access, and PowerPoint)and comfort with databases and an ability to learn new systems as required
