We are currently looking for an Administrative Assistant to add to our dynamic team.

Located at the Toronto Pearson International Airport and reporting to the Manager of Cabin Service and the VP of Flight Operations, your responsibilities will include:
- Compose, amend and type correspondence, manuals, presentations, reports, spreadsheets and related materials from verbal instructions and/or written drafts.
Maintain schedule and appointment calendars for Cabin Services Management.
- Field inquiries from other departments.
- Support recruitment initiatives and new hire process for Cabin Services and Flight Operations.
- Take minutes of cabin services meetings, distribute among attendees.
- Make travel arrangements, and complete travel and expense claims for Cabin Services.
- Review, process and action flight reports.
- Maintain aircraft documentation and supplies pertinent to in-flight
- Sort mail and distribute, including delivery of mail as required for Cabin Services and Flight Operations. Maintain mail slots.
- Act as first point of contact for Cabin Services and Flight Operations employees (i.e.: questions, concerns or issues) in Montréal and Toronto.
- Set-up and maintain/organize required filing systems and libraries.
- Source/order supplies, and coordinate quotes for Cabin Services and Flight Operations.
- Reconcile departmental invoices and distribute for payment and approval.
- Distribute Manuals (Update manual distribution list), amendments, and bulletins.
- Upload documents to employee website and control the administration of site.
- Assist in uniform issuance and return for Cabin Services and Flight Operations employees and contract pilots as applicable.
- Coordinate return of company property from Cabin Services employees and Flight Operations employees and contract pilots terminating their employment.
- Provide support/assistance to other flight attendant/pilot bases as required.
- Assist with security clearance/parking pass processes for Cabin Services and Flight Operations employees & contract pilots.
- Assist with Flight Operations training requirements.
- Assist with distribution of Pilot Seniority List.
- Perform other related duties as assigned by the Manager, Vice President, Cabin Services or Vice President, Flight Operations.
The ideal candidate will possess:
- Minimum of 1 year of previous administrative experience is required.
- Proven ability to multi-task and shift priorities on a moment’s notice.
- Mature individual with a high degree of professionalism, discretion and excellent interpersonal skills.
- Ability to project a professional image when dealing with all levels of individuals within the company, industry and government.
- Excellent computer skills (Advanced Word, Excel, & Outlook) with a keyboarding speed of 40+ words per minute.
- Must be fluency in both of Canada’s official languages (French and English).
- Initiative, ingenuity, attention to detail and the ability to maintain confidentiality are mandatory for this position.
