Regional Administrator (Richmond, BC)
Job Description
The Regional Administrator provides ongoing administrative support to the Director of Operations in enhancing operational efficiencies and customer service at 20 airports. Working closely with the Regional Managers and team, the role entails data collection and management, in addition to general administrative responsibilities. The position also works with the Regional Managers by supporting various projects, initiatives, and systems (Rostima, SITT, etc).
Role Responsibility:
Major responsibilities, but not limited to:
  • Provide the Regional Operations Management team with ongoing administrative support, tools and knowledge to effectively manage their operations and people. 
  • Assist in developing and maintaining report mechanisms and systems that are relevant and easily accessible to the operation; providing training and guidance on how to use reporting tools. 
  • Work with various departments to gather information/data as needed to generate analysis reports. 
  • Gather and prepare progress reports from the Recurrent Learning Program.  
  • Enter new regional hires into the CATSA Learning Management System and be the regional liaison between the regional operation and the training department. 
  • Maintain and streamline information such as - Training records and RLP.
  • Track classroom hours in SITT and reconcile/correct for CATSA.
  • Update and maintain the CATSA performance trackers (PIP/PER).
  • Distribute CATSA operational procedural changes.
  • Manage the Director of Operations’ calendar, travel, and expense reporting.
  • Track health and safety reports and site inspections.
  • Plan and coordinate regional meetings, on or off site, including logistics, and venues.
  • Arrange travel including flights, hotel accommodations and car rentals for all regional staff. 
  • Assist IT for regional troubleshooting.
  • General administrative duties as required (filing, photocopying, couriers, supply ordering, office facilities, etc.)
  • Backfill for the Executive Assistant/Communications Coordinator as needed. 
  • Other duties as assigned.

The Ideal Candidate:
Education, experience and skills
  • Minimum two years of administrative experience preferably in aviation security 
  • Highly organized self-starter with a demonstrated ability to multi-task priorities and assignments 
  • Strong interpersonal, communication and conflict resolution skills to deal effectively with multiple stakeholders 
  • Sound analytical, problem solving and negotiation skills 
  • Working knowledge of relevant security and employment legislation 
  • Advanced computer skills, including Excel, Word, SharePoint and Timegate and Google. 
  • The ability to handle confidential information with professionalism
  • Ability to function with accuracy under heavy workload and deadlines. 
  • Eligible to obtain and maintain Transport Canada Clearance.
