Events Coordinator

Position Title: Events Coordinator
Reports to: Head, Events and Communications
Location: Montreal, Canada
This position supports the events team of ACI reporting primarily to the Head, Events and Communications. The post holder will be responsible for administrative and logistical assistance in the development of airports’ events for ACI World. Additionally this position will provide operational and logistical support in administration, communications and customer services.


  • Major Duties and Accountabilities:
  • ACI event operations and logistics:
  • Draft event specific organizational aids such as production timelines, contact lists, running orders, on site deliverables schedules, invitations and agendas
  • Coordinate pre-event and onsite communication with delegates
  • Coordinate post-event logistics and details (such as shipment of materials, updates on registration, etc)
  • Preparation of invoices, payment follow-up, and reconciliation of accounts
  • Registration, as well as preparation of badges
  • Create email campaigns using email communication software
  • Events communications:
  • Support communication initiatives with ad hoc editing, proof reading and compiling communication content
  • Coordinate speaker presentations and PowerPoint slides
  • Assist in updates of existing communications materials
  • Maintain support for all current and new ACI event websites and other webpages, and;
  • Customer services:
  • Customer invoicing
  • Respond to customers’ questions and enquiries
  • Review and proofread documents, publications and letters
  • Provide customer support and guidance on various subjects
  • Assist in preparation of presentations and report
  • Other duties and responsibilities as assigned
  • Requirements:
Essential
  • Excellent written and spoken French and English skills: ability to communicate effectively in both languages.
  • College education, preferably within marketing, communications, media, or related fields
  • Ability to work accurately and effectively with a minimum of supervision
  • 2-3 years of experience in event logistics and administration
  • Detail oriented and proactive, with a team player mindset
  • Proven superior customer service skills
  • Effective time management and ability to thrive in a multi-task environment with numerous deadlines
  • High level competency in Microsoft Office (Word, Excel and PowerPoint)
Desirable
  • Knowledge of Adobe Illustrator, InDesign or Photoshop is an asset
  • Experience in an international and multi-cultural working environment
