Communications Assistant – Marketing and Communications Department

We have a permanent, full-time opportunity for a Communications Assistant in the Marketing and Communications Department. Reporting to the Manager, Community Relations and Commercial Marketing, the successful candidate will assist and support the execution of marketing and communications initiatives for community relations and commercial marketing.


Key responsibilities include: 
  • Supporting Community Relations events and Commercial Marketing activities including the summer festivals and events program, the Annual Public Meeting, seasonal events and concession promotions, Community Investment events with duties that include acting as the main event contact, onsite staffing, and on-site execution, overseeing all event set-up and tear-down, registration and maintaining appropriate uniform and swag inventory
  • Coordinating community investment applications, acting as on-going contact for execution of partnership agreements, database management, contracts and correspondence
  • Coordinating Speakers Bureau program including researching and contacting organizations for bookings, facilitating all logistics related to program, writing and presentation support for speaking content, working with Manager of Community Relations to provide necessary briefings to executive and on-site A/V and event coordination
  • Coordinating Explorer Tour program including preparing bookings, updating tour script and materials, responding to booking inquiries and supporting tour guides through leading tours as required
  • Creating content and writing for concession communications, corporate website, blog and intranet
  • Providing administrative support for department including purchase order, check requisitions and new vendor setup
  • Supporting Corporate Partnerships through acting as point person for on-going execution of partnerships, helping fill corporate tables and fulfil other benefits as outlined in the agreements, maintaining corporate promotional item inventory
  • Responding to inquiries on the community relations email and phone line
  • Supporting other community relations programs as required including community research and consultation
  • Providing additional support to the Marketing and Communications department as required
  • Ensuring consistency of brand application across the organization through development of corporate and marketing materials
Key qualifications include: 
  • Minimum one year of recent, related experience in special events management, supplemented by a two or three year technical or community college certificate or diploma in Public Relations, Communications or Marketing; or an equivalent combination of training and experience
  • Excellent customer service focus with comfort interacting with the public, in person, on the phone and via email
  • Strong writing and editing skills with a solid understanding of the importance of message delivery
  • Strong computer skills, particularly in MS Word, PowerPoint and Excel; Adobe Photoshop and InDesign are assets
