Reporting to the Director, Passenger Demand, Marketing & Concessions the Administrative Assistant is accountable for providing superb administrative support to the Air Service & Commercial Development Business Unit. We are looking for a responsible, highly efficient individual with focus on customer service, maintaining order along with a positive attitude and approach to their work style. This position leads in integrating and facilitating administrative services for the business unit by supporting numerous very busy team members. Excellent time management, outstanding organizational and above par attention to detail skills are paramount for success.
POSITION SPECIFIC ACCOUNTABILITES:
- Plan, support and provide communications support for multiple department leaders, handling matters of a confidential and time sensitive nature.
- Serve as the initial point of contact for multiple departments for document management, including file maintenance, project reports, expense reports, and event documentation.
- Assist in the preparation of annual divisional budgets and maintain expenditure tracking, interpret variance reports, and advise the Directors of potential forecast problems.
- Prepare invoices which include PO creation and processing payments.
- Ensure office supplies are ordered and organized.
- Coordinate and respond to customer inquiries – in person and electronically
- Coordinate outgoing mail, and monitor/deliver incoming mail as needed.
- Ensure the successful coordination and facilitation of meetings and events as required, including appropriate coordination of resources (facility, room set-up, speaker, etc.), presentation, agenda and minute preparation.
- Coordinate key team projects, and provide project assistance to ensure timely communication of information, and emerging issues receive priorities as applicable.
POSITION SPECIFIC REQUIREMENTS:
- Post Secondary Certificate or Diploma in Business Administration
- Minimum 3 years’ experience in administration, equivalent combination of service and administrative experience will be considered
- Demonstrated experience with supporting multiple team members
- Extremely high accuracy and attention to detail
- Highly proficient knowledge and experience of Microsoft Office applications
- Entry level knowledge of Canadian airport business systems would be considered an asset
- Effectively administer budget and expense allocations
- Capture key discussion and decisions to accurately produce formal minutes
- Ability to obtain and maintain the appropriate level of security clearance is required
