Responsibilities include, but are not limited to:
- Operate as the first point of contact for clients and provide superior customer service at all times including phone calls, emails, and face to face service;
- Work within the flight coordination team to provide 24/7 availability to our clients;
- Use various computer software programs to track aircraft progress (flight following) and updating clients or service providers with changes as required;
- Respond to client inquiries and requests for quotes within response time guidelines;
- Perform customer appreciation tasks such as thank you cards, gifts and follow up calls;
- Ensure the client departure lounge is clean, stocked and ready for clients at all times;
- Perform lounge attendant duties for flights including checking in clients, providing refreshments, assisting with luggage, and responding to all customer requests;
- Create accurate and up to date flight itineraries;
- Assigning flight crews to flights while adhering to Transport Canada rules and regulations;
- Create invoices;
- Contact service providers to follow up on any missing paperwork or receipts from the flights;
- Make arrangements for all corporate travel requests including but not limited to commercial flights, ground transportation, accommodation and meals;
- Research service providers to ensure we are receiving the best prices for all services including but not limited to fuel, ground transportation, commercial and sub-charter flights, and accommodation;
- Other projects and duties as assigned by the Lead Flight Coordinator and Managing Director.

Hours of Work:
Due to the nature of our business, the flight coordination team is required to work a variety of shifts including days, evenings, weekends, holidays and on-call. Flight coordinators are required to adhere to the schedule created by the Lead Flight Coordinator.

Minimum Education and Experience Requirements:
- 5+ years customer service experience;
- Strong computer skills including Microsoft Office;
- Legally able to live and work in Canada;
- Previous experience in an administrative oriented role;
- Fluency in English including excellent written and oral communication;
- Degree or Diploma in Aviation, Business Administration, Travel and Tourism, or Hospitality Services considered an asset;
- Able to obtain a RAIC pass; and
- Previous aviation experience considered an asset.
