Summary of Functions:
The primary purpose of the Business Development Administrative Assistant is to provide the department with administrative support and to provide customers with initial information on business development, aircraft sales, lease, marketing and general Viking Information. Under general supervision, provides administrative support to one or more managers. Within limits, uses initiative and judgment in selecting appropriate work methods and procedures.
Major Duties and Responsibilities:
- Support the Business Development team with general administrative tasks, including printing, photocopying, scanning, preparing meeting rooms, presentations, catering, shipment, report building mail outs, research etc;
- Responds to customer’s initial requests for information on aircraft sales, lease and business development via telephone, email or fax with general information on products and services;
- Coordinates Customer meetings/interfaces worldwide and receiving visitors;
- Coordinates travel arrangements for Business Development; researches and makes flight, hotel and rental car reservations in accordance with company policies. Creates travel itineraries and schedules in accordance with authorized travel requests;
- Coordiante and set up facility tours;
- Assists with trade show bookings, budgets, schedules and shipments;
- Organizes files and maintain legal documents;
- Any other duties that the job requires.
Business Development Admin Assistant will work within the Business Development department and interact as necessary with other department.
Experience and/or Educational Requirements:
- Minimum Grade 12 education
- Diploma in Administration or equivalent experience
- Good knowledge of Microsoft word, excel, power point and excel
- Skilled use of power point’s functions and creating presentations
- Good organizational skills and ability to multitask
- Must be willing to work early morning and late evening hours on occasion
- Must be culturally sensitive, tolerant and aware
- Second language considered an asset
- Ability to clearly enunciate language;
- Good hearing;
- Good Mobility,
- Positive attitude.
