New Posting - YVR (Vancouver Airport Authority)

The Vancouver Airport Authority has an opening for a casual Executive Assistant to provide relief support for full-time Executive Assistants.  This position would ideally suit someone who has a flexible schedule, enjoys an aviation environment, has proven administrative experience and is happy to also work summers and throughout the winter holiday period.
  • Efforts will be made to provide as much notice as possible; however, the successful candidate should be available on an on-call basis in the event of unexpected absences
  • There will be occasion to assist with front office reception duties and/or with the Communications Department, on an as-needed basis
  • The successful candidate will be expected to work over the summers and during the winter holiday season when it is anticipated that a number of full-time Executive Assistants will be on vacation
  • Work week is Monday to Friday, no weekends required (unless exceptional circumstances)
  • We anticipate the number of hours worked per year to be in the range of 1,200-1,500 hours, and is dependent on various factors including peak periods, vacation, illnesses, leaves, etc.

Key responsibilities include:
  • Supporting members of the executive including providing regular support to the Vice President, Government Affairs
  • Acting independently with a high level of professionalism, confidentiality, judgment and discretion
  • Maintaining calendars, including scheduling and/or rescheduling appointments
  • Managing email and regular mail
  • Preparing correspondence, reports, presentations and spreadsheets
  • Making travel arrangements
  • Keeping executives apprised of deadlines and action items
  • Providing relevant material prior to all meetings
  • Coordinating and assembling relevant information for Board and executive meetings
  • Ensuring documents for signature are processed in a timely manner
  • Maintaining files and other office records
  • Administering various financial functions (e.g., monthly budget forecasts, invoices, expense claims and purchase orders)
Key qualifications include:
  • Minimum of 5 years’ demonstrated administrative support experience
  • Strong organizational skills with an attention to detail
  • Demonstrated ability to prioritize in a changing environment
  • Proven ability to exercise confidentiality and discretion
  • Exceptional interpersonal and communication skills
  • Ability to deal with various stakeholders ranging from colleagues and business partners to Board members and government officials
  • Solid MS Office skills in order to prepare correspondence, reports, spreadsheets and presentations, as well as manage a large volume of email
  • Team player with a willingness to assist other Executive Assistants during peak periods
