Job SummaryThis position reports to the COO and manages the project plans for the departments technical writing and document control company wide, as well as work with the COO on special administrative projects.


Key Areas of Responsibility Description 

Project Management 
• Responsible to lead the planning and implementation of projects for all departments;
• Accountable to ensure project scope, goals and deliverables are achieved on 100% target date;
• Defines project tasks and resource requirements and ensure weekly updates are provided to task owners on status of target dates
for each goal;
• Manage project resource allocation and coordinate with COO on any identified risks and potential resource gaps ;
• Track project deliverables using MS project, as well as prepare a summary sheet identifying the status of the project and
communicate to all stakeholders prior to task deadline ;
• Provide direction and support to project team, review timelines with project stakeholders and coordinate weekly meetings;
• Prioritize demands & establish clear set of project goals with timelines;
• Sequence activities to meet delivery dates & produce detailed project schedule that is emailed weekly with a follow up of tasks;
• Determine type, quantity and quality of resources required & allocate resources and establish resource schedule;
• Identify techniques for quality control and develop quality plan and map risks, identify contingency actions and develop risk plan;
• Clarify completion criteria for each deliverable and develop acceptance plan;
• Develop communication strategy with stakeholders and establish communication plan to meet target goals;
• Identify external supplies required and develop procurement plan if applicable;
• Regularly monitor and report on progress of the project to all stakeholders to ensure 100% of timelines;
• Responsible to present reports defining project progress, problems and solutions; 
• Implement and manage project changes and interventions to achieve project outputs;
• Project evaluations and assessment of results and use data to improve future projects;
• Implement project plans to build, monitor and control project; 
• Manage timeline to 100% completion;
• Identify and manage risks;
• Suggest and implement modifications to project scope, deliverables, timelines and resources based on progress;
• Prepare and present project status reports to stakeholders;
• Obtain stakeholder approval for final deliverables;
• Present final project report, release project resources and conduct project review and then handover project documentation to the 
appropriate Manager;
• Evaluate performance against defined project goals and review lessons learned with the group.

Technical Writing 
• Responsible to edit and format documents/manuals with appropriate specifications and styles required;
• Write, rewrite, edit, or proofread technical manuscripts, manuals, online content, corporate publications and or deliverables; 
• Write original content when required;
• Edit and re-write portions of technical documents;
• Prepare and assist with the preparation, coordination, copyediting, and proofing of manuals;
• Develop or maintain templates for documents.
• Ensure all company manuals are coordinated and each manual reference is accurate and matches all other departments when
required.

Document Management & Control
• Responsible to continuously review and update all company related manuals;
• Ensures all controlled publications are updated in accordance with departmental procedures;
• Supervises that all company’s manuals and revisions are distributed accordingly;
• Conducts quality control checks to ensure compliance with guidelines, specifications and deadlines;
• Determines and applies appropriate levels of editorial treatment to materials;
• Manages distribution and publication requirements with manufacturers and regulated bodies as required;
• Implements a corporate document management solution;
• Provides input to company documentation standards.
Administration
• Supports and works closely with COO with respect to projects and business initiatives; 
• Assists COO in drafting communication protocols for employee group;
• Responsible to compile COO & Executive expenses and submit for processing;
• Assists COO with companywide programs when tasked; 
• Ensures continual improvement through periodic reviews of documented processes, policies and procedures to improve efficiencies
and effectiveness of departments.
• Assist with drafting company policies and processes

Other
• Other duties as assigned to support the business.

• Ensures contingency plans exist for problems and situations that might occur. Redesigns the structure and/or operations of the 
department or organization to better meet long-term objectives.

• Excellent computer skills; MSOffice (Project, Excel, Power Point, Word, Access and Outlook).

Education, Certifications and Work Experience 
• College or University Degree in Technical Communication (or Technical Discipline with relevant experience) or Project Management 
Experience (working towards a PMP designation preferred);
• 3 years of technical writing experience or equivalent; 
• Demonstrated knowledge of commonly used concepts, practices, and procedures within the field of technical writing; 
• Experience documenting process would be considered an asset;
• Has worked in a Leadership capacity role;
• Authorized to live and work in Canada;
• Knowledge of both theoretical and practical aspects of project management.
