The Vancouver Airport Authority has a permanent full-time opportunity for an Executive Assistant to the Vice President, Engineering in the Executive Office.  Reporting to the Vice President, Engineering, the successful candidate will enjoy autonomy and the challenge of using a diverse range of administrative skills.
 

Key responsibilities include:
  • Supporting the Vice President, Engineering
  • Liaising with the Executive Committee, direct reports and other team members
  • Acting independently with a high level of professionalism, confidentiality, judgment and discretion
  • Maintaining calendars, including scheduling and/or rescheduling appointments
  • Managing regular mail and email
  • Preparing correspondence, reports, presentations and spreadsheets
  • Making travel arrangements
  • Keeping the executive apprised of deadlines and action items
  • Providing relevant material prior to all meetings
  • Coordinating and assembling relevant information for Board and executive meetings
  • Ensuring documents for signature are processed timely
  • Maintaining files
  • Administering various financial functions (e.g. monthly budget forecasts, invoices, expense claims and purchase orders)
  • Other duties as assigned by the Vice President
Key qualifications include:
  • Minimum of 5 years’ demonstrated administrative support experience at the executive level
  • Experience writing executive level reports
  • Expert PowerPoint skills
  • Excellent organizational skills with an attention to detail
  • Exceptional interpersonal and communication skills with strong editing and proof-reading capabilities
  • Demonstrated ability to prioritize in a changing environment
  • Proven ability to exercise confidentiality, tact and discretion
  • Ability to deal with various stakeholders from colleagues and business partners to Board members and government officials
  • Capacity to work well under pressure
  • Solid MS Office skills in order to prepare correspondence, reports, spreadsheets and presentations, and manage a large volume of email
  • Team player with a willingness to assist other Executive Assistants during peak periods, as well as cover for them during absences if necessary
The successful candidate will interact with the executive office and the executive’s departmental teams.  He or she is always discreet, courteous and comfortable dealing with Board Directors, Senior Executives and a wide range of internal and external business partners.
