Administrative Assistant Airports - YVR Closing Date: Sep 17, 2016 Primary Location : CA-BC-Vancouver Schedule : Full-time Job Type : Permanent Shift : Days Number of Openings : 1
Basic Purpose of Position:
Provide Administrative and Operational support for Station and Region.
Key Activities:
- Produce correspondence/reports for the Regions Area Managers and others as requested.
- Providing research and project assistance when further information and assistance is required.
- Provide assistance and support to executive and/or managers, senior leads as required.
- Arranging and organize all general and regional meetings, functions, presentations, etc. to be attended or hosted by the Managers.
- Preparing business travel for the Area Manager and/or others as requested, making necessary flight, hotel, and car rental reservations.
- Maintain office supplies.
- Prepare and maintain minutes and action logs as required.
- Maintain Outlook distribution lists.
- Provide support to other employees throughout the Jazz team.
- Administer employee recognition tools for the region.
- Invoice coding as required.
- Maintain employee’s personal files.
- Complete payroll for UNIFOR staff.
- Kronos Subject Matter Expert for the region.
- Help to set-up new employees.
- Distribute general mail correspondence to unionized airports employees.
- Assist Airport Manager’s (AMs) with monthly staff schedule creation and distribution.
- Coordinate and facilitate bi-annual schedule bidding.
- Coordinate and facilitate annual vacation bidding.
- Update and maintain employee call out lists.
- Write and post operational bulletins as needed.
- Maintain and track employee part time (PT) availability.
- Maintain spreadsheets on area manager’s employee data.
- Monthly GL report distribution.
- Special project to support operations.
- Create pivot table reports.
- Send Attendance Wellness Program (AWP) reports to managers as designated.
- Other special projects as assigned.
- Relief support for Airport Operations Manager (AOM) coverage and required time off.
- Obtain Vancouver Airport Authority (YVRAA) Airside Vehicle Operator’s Permit (AVOP) as required.
- Other related duties as assigned.
- Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.
Qualifications:
- High school diploma or equivalent is required.
- Post-secondary degree or diploma is an asset.
- Must be self-motivated, resourceful and well organized.
- Possess strong written and oral communication skills to be utilized at all levels of the organization with internal and external customers.
- Strong computer skills including MS Office Word, Excel, Outlook, and PowerPoint.
- Ability to prioritize and meet deadlines.
- At least 2 years of previous work experience in an administrative role is required.
- At least 1 year of work experience working in a supervisory/management role is required.
- Previous supervisory experience working in a mixed union and non-union environment is an asset.
