Pacific Coastal Airlines is currently looking for a permanent full-time (entry level) Employee Services & Travel Assistant (Administrative Assistant) . The start date of this position is flexible. The position is based out of the Pacific Coastal Airlines head office in the South Terminal building at the Vancouver Internal Airport in Richmond, BC. South Terminal is a separate building and a short drive from YVR's main terminal building.
This position is a great opportunity for someone who has an interest in working in an airline setting. The Employee Services & Travel Assistant is a newly created position and will be a key driver for the development of the company's employee travel programs and privileges. This individual will administer the company's employee travel programs and she/he will collaborate with employees and management from all departments and locations to ensure the smooth delivery and administration of employee-related paperwork.
The ideal candidate is competent in airline or travel reservation systems and general office procedures. This individual will be highly organized, have the ability to shift gears at a moment's notice, and will provide outstanding service to the department's internal and external customers. The successful candidate will be friendly and approachable yet comfortable and confident in enforcing policies when required. He or she will continually strive to increase the department's effectiveness and efficiency while adding value for our employees and management. The successful candidate will keep up-to-date with employee travel changes and trends in the industry to ensure that the latest requirements and expectations are being met.
The successful candidate will spend a portion of time their time administering the company's employee travel program and their remaining time will be spent administering the new hire and termination paperwork processes, handling other departmental paperwork, as well as assisting with tasks and projects related to Employee Services. As the incumbent develops in the role, she/he will have the opportunity to become more involved in employee services projects and functions. PRIMARY RESPONSIBILITIES:
Employee Travel
- Act as the first point-of-contact for all employee travel questions and concerns.
- Manage the employee travel email inbox.
- Process confirmed flights for PCA employees as well as set up and maintain of employee travel profiles in AmeliaRes.
- Process other airline travel requests in AmeliaRes.
- Foster and maintain relationships with other airline (OAL) Pass Bureaus by staying current with OAL travel policies.
- Develop and enhance the company's OAL travel program and agreements.
- Update PCA employees on travel pass policy changes and procedures.
Administration
- Process, distribute, collect and track HR-related paperwork (primarily related to new hires and departures).
- Maintain employee personnel files via paper and electronic filing.
- Issue and administer YVR parking passes.
- Coordinate nametags for new employees.
- Order office supplies for Employee Services department as required.
- May act as signing authority for Restricted Area Access Cards (RAICs).
- May oversee and administer Pasco Points program.
Reception
- Answer incoming calls relating to Employee Services and direct general inquiries to appropriate departments.
- Greet employees entering the department and occasional office visitors.
Other
- Assist with event planning and other special projects.
- Provide assistance to the President and Manager, Employee Services as required.
QUALIFICATIONS :
Education & Experience
- Administrative or clerical support experience in an office environment is strongly preferred
- Previous airline Customer Service Agent or Travel Agent experience is a very strong asset
- General airline/aviation experience is a strong asset
- Experience with AmeliaRes is an asset
Skills, Knowledge & Abilities
- Ability to provide excellent service towards both internal and external customers.
- Excellent at multi-tasking and managing competing priorities.
- Highly ethical, professional, and able to deal with confidential issues with tact and discretion.
- Confidence to strictly enforce company policies when required.
- Solid planning skills and the ability staying organized when managing a high volume of paperwork.
- Intermediate technical ability in MS Suite (Word, Excel, PowerPoint).
- Exceptional interpersonal and communication skills, both written and verbal.
- Detailed-oriented.
- Critical thinker with solid problem solving skills and the ability to think outside the box.
- Effective team player Must possess the ability to relate well to people and work in cooperation effectively.
