Reporting to the Chief Pilot specific duties include-
- Coordinate all aspects of charters, including; customs, FBO notification and fuel quoting.
- Catering, hotel, rental arrangements for clients and/or crew.
- Booking airline tickets for all company travel.
- Obtaining Visas and other required travel documents.
- Liaise with crews to achieve efficiency through communication.
- Maintain situational awareness of charter aircraft and communicate movements/delays to clients.
- Ensure all airport procedures are identified and appended when flights are planned.
- Work closely with clients to determine their trip needs and ensure needs are fulfilled.
- Generate the trip sheets for the crew and provide relevant documentation for flights.
- Assist with the interpretation of all flight documents and information for the Accounting and Maintenance Departments.
- Understanding of Canadian Aviation Regulations.
- Maintain records of quoted and completed charters.
- Notify the Chief Pilot and General Manager of any significant conflicts or client concerns.
- When applicable, meet the clients at departure and arrival.
- Input operational data into FOS charter planning software.
- Input Crew duty times into FOS charter planning software.
- Generating on time performance and completion rate data.
- Keep the FOS charter planning software updated.
- File and track retention of Operational Flight Plans.
- Organize and Submit Regional 1 timesheets and payroll input for accounting on a bi-weekly basis.
- Organize and submit all Regional 1 expense reports to payroll on a biweekly basis.
- Assuming responsibilities as assigned by the Chief Pilot and/or General Manager.
Qualifications:
- Minimum high school diploma (or equivalent); post-secondary degree in aviation or related experience an asset.
- Strong command of the English language: written and spoken.
- Sound knowledge of MS Office products.
- Must be able to work autonomously or in team settings.
- Knowledge of Canadian Air Regulations as asset.
- Self-starter, problem solving skills.
- Strong planning, organizational and time management skills.
- Able to meet deadlines and work under pressure.
- Thrives in a fast-moving environment, with high tolerance for change.
- Motivated and enthusiastic team player.
- Strong planning, organizational, and time management skills
- Flexible and willing to work irregular hours, including evenings and weekends
- Working knowledge of Rockwell Collins FOS program considered an asset.
Experience:
- Minimum of 2 years of industry experience and/or relevant educational background preferred.
