Key Accountabilities

Reporting to the Manager, Planning & Support, this position is primarily responsible for implementing and administering Shift Employee Staffing (SES) Procedures in order to maintain sufficient staff for a successful shift. This position provides a central point of contact for operational staffing for the Shift Manager, Deicing Operations. This position will also be responsible for the collection of deicing reports, verification of data inputs and archiving of the material.

  • Provide all staffing related functions for all staff subject to the Shift Employee Staffing Procedures (SES) which includes:
  • Receiving and processing shift trades, sick calls, overtime call outs
  • Maintaining departmental schedules and timekeeping
  • Action leave requests, overtime eligibility within the Collective Agreement and the SES
  • Maintain and update appropriate staffing systems (KRONOS & Scheduler)
  • Provide a central point of contact for operational staffing for the Shift Manager as they are able to validate the workforce at any given time
  • Provide Functional Managers with support related to staffing systems and annual bid vacation process
  • Respond to, and action requests resulting in deviations from the staff schedule
  • Maintenance of Excel-based and/or automated schedule software/templates, and KRONOS/Scheduler payroll systems including overtime rates, hours of work, shift premiums, meal allowances, and standby pay for all employees covered by the Shift Employee Staffing (SES) procedures
  • Create and disseminate various daily reports related to shift activities, staffing levels, and productivity
  • Ensuring the Shift Manager is kept up to date with the progress and status of staffing in their areas
  • Supporting the Shift Manager during Irregular and Emergency Operations by monitoring and communicating staffing levels; ensuring sufficient qualified personnel to perform required tasks
  • Supporting P&C in process change; identifying inconsistency in the application of the SES; application of new pay or shift codes; assisting in departmental signoffs; providing guidance to users of the systems
  • Primary interface between employees on shift up to 90 days hence and the Functional Manager/Shift Manager through Staff Employee Shift Protocol Interaction
  • Develop and maintain working relationships between Functional Managers, Shift Managers, Supervisors, and Employees as it relates to Staff
  • Employee Shift Protocol and Planned Work Programming on shift
  • Responsible for the collection and verification of deicing reports and data inputs as managed in the Deicing Data Service application
  • Archiving all related deicing reports in a timely fashion
  • Other Assigned Duties

Qualifications

  • Must possess a High School Diploma or a combination of education, training and practical work experience
  • Must possess a minimum of two (2) years of demonstrated experience in a customer service role
  • Experience in scheduling staff is preferred
  • Knowledge of airport operations would be considered an asset
  • Must be able to obtain and retain a Transportation Security Clearance

  • Must have a strong ability to handle multiple priorities and meet tight timelines Working knowledge of Outlook, Word, Excel, Power Point and data base management Ability to communicate effectively with numerous departments, and customers
  • High degree of tact in dealing with requests
  • Ability to prioritize multiple priority requests Understanding of scheduling processes/procedures
  • Ability to interpret; apply complicated or conflicting applications related to the Collective Agreement and Shift
  • Employee Staff protocol for all staff, Shift Manager and Functional Managers
  • Ability to input application of pay codes, kronos and scheduler
  • Ability to multi-task, prioritize and reprioritize tasks dynamically
  • Ability to demonstrate effective interpersonal and problem solving skills
