Trans Capital Air Ltd is recruiting a Flight Operations Administrator

RESPONSIBILITIES
The position requires the ability to cope with changing circumstances and situations with little supervision. The Flight Operations Administrator reports to the Director of Flight Operations within the organization.
The Flight Operations Administrator is responsible for managing information within the Flight Operations Department and ensuring Flight Operations-related compliance for the Company.
The job requires flexibility because assignments may require overtime work and, occasionally, overseas travel.

Job Description:
  • Support Director of Flight Operations, Chief Pilot, and other members of Management in the day-to-day operation and functions.
  • Ensure that all Flight Operations personnel adhere to Safety Management System (SMS) and utilize the appropriate safety reporting program (FOAWorld) by identifying and communicating all known hazards and risks to the organization.
  • Weekly auditing of training, requirements, and documentation to ensure currency.
  • Coordinate ferry flights, aircraft delivery, and test flights.
  • Crew rotation management, scheduling, and verification.
  • Maintain all certificates ad correspondence related to the United Nations Standards, Air Operator’s Certificate, Canadian Operations Specifications, and US and Foreign Operations specifications.
  • Formatting, submitting, distributing, and tracking Company manual amendments.
  • Flight Operations Memo distribution and tracking.
  • Safety Bulletin distribution and tracking.
  • Regulatory and Safety Documentation management.
  • Maintain pilot documents and training records.
  • Coordinating pilot training, including simulator booking.
  • Air Crew exam invigilator.
  • Air Crew Flight Time entry and tracking.
  • Delivering/Transmitting Transport canada exemptions.
  • Maintaining Flight Operations Library subscriptions.
  • Tracking and updating aircraft on-board libraries.
  • Managing crew travel and HOTAC arrangements.
  • Handle Flight Operations correspondence, mail and e-mails, on a daily basis.
  • Production and dissemination of Daily Air Tasking Orders (DATO’s).
  • Any other duties as required. 
NATURE AND SCOPE
 
The Flight Operations Administrator must interact with Flight Operations personnel, senior managers and departmental heads throughout the organization, and other Company support personnel. The Flight Operations Administrator should also foster positive relationships with government and compliance officials, vendors and service providers outside the organization. Other contacts will be established at a working level as appropriate.
 
QUALIFICATIONS & ATTRIBUTES
  • Aviation Management Diploma/Degree and/or equivalent work experience.
  • Advanced experience working with computer-based programs.
  • Experience in maintaining accurate records.
  • Excellent organizational and time-management skills.
  • Well-developed interpersonal, analytical, and problem-solving skills.
  • Be computer efficient.
  • Willingness to work hard.
  • Flexible.
  • Ability to liaise with other departments.
  • Team player. 
AUTHORITY
 The Flight Operations Administrator has the authority to collect and update information from various members of the Flight Operations Department.
