Location: Winnipeg, Manitoba Canada
Main Duties:
- Supports functional director with management of daily activities, staff travel and expense reporting, task assignment, development & organization of all-hands meetings, executive supplier meetings and community/educational events.
- Prepares customer specific, basic charts and reports for procurement agents and management to support analysis and management of procurement elements (e.g., supplier cost, delivery, quality).
- Enters data, extracts data and performs limited updates of databases for supply chain & materials management team, management and other customers to ensure data integrity and timeliness.
- Collects, organizes, edits and provides data from various computer systems and databases to supply chain & materials management team, and management to effectively evaluate processes and performance (QCDSM) within the SC & MM function.
- Schedules and organizes meetings, records and distributes meeting minutes and agendas, processes and files forms and documentation and performs other administrative tasks to assist in the efficiency of SC & MM operations.
- Communicates with SC & MM, suppliers, and internal customers to assist in the identification and resolution of issues associated with the procurement cycle (e.g., quotes, billing, contracts and other documentation discrepancies) to ensure contractual compliance.
- Maintains and orders office supplies and cell phones for the department.
- Must have full working-level knowledge of office administration.
- Must have strong written and verbal communication skills and strong organizational skills; and be able to work in a team environment.
- Intermediate working knowledge of Microsoft Excel, Word, PowerPoint and Access
- Prefer knowledge of the responsibilities and tasks performed by SC & MM departments and/or disciplines
- Demonstrated proficiency in Data Entry. (e.g Access)
- Must have a Canadian high school diploma or recognized equivalence.
- Prefer relevant post-secondary education.
- Must have 5+ years of administrative and support experience including but not limited to; report development, written correspondence , record maintenance, presentation development and schedule development.
