REPSONSIBILITIES:
- Responsible for payroll feeding for the flight operations group (Pilots + OCC);
- Responsible for the new pilot hiring process for training approval (TSA coordination);
- Responsible for the management of pilots training files and PAOBD files as per the procedures;
- Responsible for new hire pilot ordering AMEX, calling card, ID Cards, etc. New Hire checklist and tracking;
- Responsible for coordinating new hire pilots uniforms;
- Responsible for the initial pilot training coordination as per the procedures;
- Coordination of supplemental training for pilots such as Dangerous Goods, firefighting and emergency evacuation;
- Issuing and sending monthly flight logs to all pilots;
- Maintain aircraft documentation files (FOS-NT, SharePoint or other);
- Responsible for aircraft subscriptions (initial and renewals for CFS, Fuel cards, US DECAL, etc.);
- Maintain FOS NT fuel price list for users;
- Maintain fleet update list to our vendors as per the New Aircraft and Departing Aircraft checklists;
- Maintain charter customers EJM and ARG/US databases up to date with pilots and aircraft information;
- Track vacation and sick days for pilots through FOS;
- Support mailing needs: TCM/SOP/COM to the Distribution List;
- Collect comments and populate follow up issues from Pilot Course Evaluation sheet;
- Maintain G drive Training Folders and FOS up to date;
- Track and update FOS Crew Due Report (bi-weekly);
- Assist in the management of the annual exam:
- Correct/file and return exams
- Track errors (spreadsheet)
- Direct pilot’s requests/questions to appropriate person
- Track and follow up pilot Logbook/Night Qualification monthly report;
- Follow up pilot’s training records from Training Providers;
- Admin support for ACP, AOC and POC paperwork:
- Pick documentation to/from TC
- Send flight test reports to pilots
- Update G drive/FOS
- Assist in all other related administrative duties, as assigned by management.
QUALIFICATIONS AND SKILLS REQUIRED :
- Minimum three years of administrative experience or equivalent;
- Experience working in an aviation environment is an asset, but not a requirement;
- Proficiency in the use of Microsoft Office products (i.e.Word, Excel);
- High degree of speed, accuracy and thoroughness in all work functions;
- Ability to work under pressure and meet deadlines;
- Excellent organizational skills and the ability to multi-task;
- Very detailed-oriented with a focus on process improvement;
- Ability to review own work for accuracy and thoroughness;
- Ability to handle multiple priorities with a high level of integrity and confidentiality towards sensitive information;
- Ability to provide positive attitude and function effectively as a team player;
- Strong communication skills;
- Fluently bilingual (English and French) in both oral and written, is required;
- Knowledge and familiarization with FOS is an asset, but not a requirement.
EDUCATION :
- Possess a post-secondary degree in Office Administration or any other relevant field, is required.
