Responsibilities:
Provide general administrative support to the Flight Operations Department which includes but is not limited to word document and letter creation, typing, filing, photocopying, assembling and amending manuals, preparing and distributing training material and memorandums, arranging meetings, taking minutes and keeping notes
Liaise with training department regarding training requirements for Pilots including travel, accommodations, training, course material and catering
Arrange and coordinate business flight travel requirements
Order and maintain Pilot uniform requisitions
Responsible for set-up and control of Calgary employee telephones, cellulars, parking cards, swipe cards, RAIC passes and employee cards system-wide.
Verify and authorize departmental invoices
Complete expense claims for department management
Schedule interviews, travel requirements, interview rooms and other relative duties during pilot recruitment
Maintain and update a library of subscribed publications, manuals and other reference material
Pick-up and distribute incoming, outgoing and interoffice mail; coordinate courier and other delivery services as required
Cover Reception and Office & Interline Coordinator duties in their absence Actively participate in the Company’s Safety Management System program and demonstrate knowledge of employee responsibilities regarding safety
Other duties as assigned
Qualifications:
Proven ability to work independently with limited supervision or direction
Excellent interpersonal and communication skills
Ability to manage pressure and conflicting demands
Well organized, detail orientated, capable of multitasking
In-depth knowledge of Microsoft Office Suite (computer knowledge and experience is essential)
At least 2 years of administrative experience in an office environment
Knowledge of airline operations and Sabre reservations system is considered an asset
Grade 12 or equivalent experience (related certifications are considered a definite asset)
Must be legally eligible to work in Canada with no stipulations
