Camp and Travel Coordinator Shell Carmon Creek

The incumbent arranges air travel logistics for passengers between the project airport, the Fort McMurray airport, Calgary/Edmonton and the employee's home airport. The Travel coordinator coordinates camp accommodations for all employees within the project.

• Arrange and coordinate camp and air travel requests for all staff on the project. Ensure all itineraries are communicated and distributed to the applicable employee via email or hard copy.
• Confirm and verify flight attendance. Escalate to the appropriate supervisor if any discrepancies are found between the booked flights and the confirmed flight attendance.
• Arrange camp accommodations for all employees and Flint visitors on the project site.
• Cancel or reschedule any camp accommodations due to changes in an employee's status.
• Monitor the camp room availability and ensure alternative camp arrangements are made if vacancies are limited.
• Responsible for reconciliation of all invoices against commercial bookings. After the review of invoices, any and all discrepancies must be qualified and corrected through the vendor prior to sign off of the invoice. Ensure all explanations for the use of commercial flights are provided to the client prior to submittal to accounts payable for processing.

Submit invoices to the Project Manager for approval prior to Client Approval/ Submittal. Backup documentation must be presented with the invoice approvals for audit purposes via internal and external methods and processes.
• Ensure any travel itinerary changes are communicated with the applicable employee
• Collaborate with other functions to enhance project success on an as needed basis required by the Human Resources Lead.
• Track and update travel logistics for booked air travel via the Flight Tracker.
• Ensure proper approvals are obtained from the client and supervision prior to completing any travel change requests
• Update and track employee vacation requests. Ensure travel logistics are amended accordingly. Post, review and print off any required information from FDMS which pertains to current tasks, responsibilities and projects.
• Complete and submit monthly documents to the appropriate departments (i.e. timesheets expense reports, etc.).
• Attend and contribute information during team meetings with regards to current/outstanding issues and/or weekly process
• May be required to perform other duties as assigned not otherwise captured in this position description.

Job Requirements

• Minimum of high school diploma required
• Minimum of 1-3 years’ experience required
• Minimum 6 months required in a travel bookings role
• Intermediate computer skills: Microsoft Office (Outlook, Word, Excel, Access)
• Strong ability to multi task and prioritize workload within a fast paced environment
• Site based role
