FUNCTION: This position reports to the Manager, Manager, Executive Offices & Executive Assistant to the President & CEO . The receptionist is responsible to provide full coverage to the reception desk during business hours while supporting the daily activities (including board/meeting room usage) for all departments.
DUTIES AND RESPONSIBILITIES:
- Handle incoming calls, emails and correspondence
- Manage board/meeting room schedules
- Maintain the board/meeting room condition and setup as required
- Arrange courier services and outgoing/incoming mail
- Assist the Human Resources department by managing interview candidate flow, communicating candidate arrival, ensuring the completion of appropriate paperwork for each candidate based on position they are being considered for, photocopying IDs and overseeing related requests
- Order office supplies and handle associated follow up with each department
- Ensure that the reception and kitchen areas are tidy and presentable at all times
- Keep mailroom organized and sort incoming mail and packages per department
- Arrange catering services upon request
- Assist with company events
- Actively participate in Porter’s Safety Management System (SMS) including, reporting hazards and incidents encountered in daily operations; understand, comply and promote the Company Safety Policy
- Assist with other administrative duties as requested
- Overtime may be required occasionally
QUALIFICATIONS:
- Post-Secondary Education is an asset
- Minimum 2 years of working with the public
- Proven organization and time management skills with the ability to multi-task in an environment with shifting priorities
- Ability to work with minimal supervision to complete assigned duties
- Service minded
- Demonstrated self-starter with a positive attitude
- Proficient with Microsoft Office suite including, Word, PowerPoint, Excel and Outlook
- Dependability (must have a clear attendance record and reliable on time reporting for work)
