Operations Coordinator 

Reporting to the Director of Flight Operations, the Operations Coordinator is responsible for coordinating the deployment of assigned aircraft and aircrew resources for Conair. You are also responsible for establishing and maintaining external customer relationships by acting as a liaison for the coordination and provision of aircraft services during the operating season as well as coordinating internal support requirements to ensure customer satisfaction and contract compliance.



MAJOR DUTIES AND RESPONSIBILITIES:
 Maintain daily computerized records of aircraft and aircrew activities;
 Establish and maintain pilot/AME and aircraft deployment schedules, crew changes etc;
 Assist with the coordination of internal support requirements to meet operational commitments. (equipment moves, crew moves, trucks, trailers, licensing, etc.);
 Develop and implement administration procedures for flight operations assignments;
 Establish and maintain customer satisfaction monitoring and coordinate response follow-up;
 Coordinate on-call Duty Person rotational assignments and act in position during the operating season.
Duties to include:
o Marketing and establishing agreements with external customers for the provision of additional aircraft services;
o Scheduling and deploying appropriate aircraft and aircrew to assignments;
o Monitoring flight and duty times and rescheduling or restricting operations as required or needed;
o Maintaining current aircraft and personnel information for relay to authorities in emergency situations;
 Administer and approve aircrew expense claims and operational invoices;
 Participate in the negotiation of the pilot union Collective Agreement as required;
 Participate in the preparation and management of the department’s budget and ensure invoices and expenses are within policy, budget, and authorization levels;
 Maintain aviation operations files and records;
 Update and maintain status board of aircraft and personnel;
 Administrate the renewal of landing permits and radio licenses as well as the application for new aircraft radio licenses;
 Compile, prepare, distribute and file reports, records, correspondence, invoices, flight tickets, receipts, expense accounts, etc as required;
 Participate and assist in the preparation of all Request for Proposals;
 Co-ordinate and book all divisional travel and field accommodations for the flight operations and maintain records of all such travel;
 Coordinate and flight follow parts runs and Executive flights;
 Help coordinate annual pilot bidding process;
 Assist Human Resources with the compilation and preparation of information for US and other work visas;
 Maintain pilot procedure manual (for summer operations);
 Vacation relief and backup for Operations Administrator as required;
 Perform other related duties as required.

KNOWLEDGE SKILLS ABILITIES: EDUCATION AND EXPERIENCE:
 Knowledge of aircraft capabilities and limitations;
 Knowledge of Canadian Aviation Regulations, and related legislation;
 Knowledge of Company Operations Manual, Procedures Manual, Accident Response Manual;
 Excellent written and oral communications skills;
 Excellent interpersonal skills. Ability to communicate and liaise with fellow staff and external customers;
 Working knowledge of Microsoft Office programs;
 Ability to initiate and complete business correspondence and reports;
 Ability to initiate and maintain accurate records;
 Ability to perform routine budget calculations, audit and verify invoices and accounts;
 Ability to organize, establish priorities and meet deadlines;
 Ability to work under significant pressure.
 Completion of Grade 12
 Basic computer training and use of MS windows and Office Programs.
 Minimum 5 years aviation dispatch and administration experience.
 Previous experience working within the constraints of a Collective Agreement an asset.
