Role Responsibility:
The Executive Assistant and Communications Advisor provides high-level administrative support to the COO and provides guidance and assistance to Senior Management and internal business partners in planning and preparing internal communications to ensure they are aligned with the Company’s mission, values, goals and objectives. This position assists the Senior Management Team in supporting people and culture at 21 airports across British Columbia and the Yukon Territory.

This position assists the Senior Management Team in supporting people and culture at 21 airports across British Columbia and the Yukon Territory.
Major responsibilities, but not limited to:
Executive Support/Office Management:
Executive Support/Office Management:
- Manage the COO’s schedule, meetings, appointments and other activities.
- Attend confidential senior management meetings; prepare agenda, track minutes and action items.
- Coordinate travel and accommodation for COO and rest of senior management team as required.
- Manage the corporate credit card and reconcile expenses.
- Plan and coordinate staff functions, celebrations, town halls, and other organization-wide events.
- Coordinate corporate support for employee fundraising efforts.
- Oversee the sourcing and purchasing of promotional materials, office furniture, equipment, and other related items.
- Engage with vendors and secure corporate rates and discounts.
- Manage the day-to-day office functions and services; review and update office procedures and protocol as needed.
- Handle facilities-related issues and arrange for timely repairs and maintenance of office equipment and amenities.
Communications/Employee Engagement
- Provide superior content writing and editing support to COO and to other departments when preparing internal communications.
- Ensure consistent application of corporate guidelines and industry best practices when implementing communications strategies.
- Design, create, deliver documents such as newsletters, pamphlets, brochures, manuals, etc.; assist in the design and delivery of periodic employee surveys.
- Represent G4S Aviation as its Brand and Values Ambassador when leading project teams, onboarding new employees and in other activities that support culture change and employee engagement.
- Lead the Employee Recognition Committee. Track nominations for senior management review. Draft award letters and purchase recognition awards.
- Lead or participate in special projects as needed.
- Other duties as assigned.
The Ideal Candidate:
EDUCATION, EXPERIENCE AND SKILLS
- Bachelor’s degree in English, PR, Journalism, Communications or equivalent experience
- Five years’ related experience providing high-level administrative support to senior management
- Bilingualism (English and French) is an asset.
- Excellent communication skills with strong creative and business writing skills
- Experience in communications strategies specifically dealing with Policy, Employee Engagement, HR is an asset.
- Demonstrated ability in content / copy writing, proficiency in graphic design, web publishing, and related software
- Intermediate to advanced level proficiency in MS Office and Google Suite. Proficiency in Adobe Creative Suite is highly desirable.
- Proven skills in editing and developing effective messaging and presentations targeting specific audiences
- Proven ability to develop and maintain effective working relationships with stakeholders and employees across all levels of the organization
- Demonstrated ability to work with a high level of discretion, diplomacy and confidentiality
- Proven self-starter with excellent organization skills
- Proven ability to handle multiple tasks and projects with tight deadlines
- Ability to manage and adapt to shifting priorities
- Access to own vehicle is an asset
- Must be eligible to attain a Federal Secret Security Clearance.
