KF Aerospace - Business Development Administrator
The Business Development Administrator reports to the Custom and Contracts Coordinator and is responsible for coordinating and completing service contracts from contract completion and customer follow up.
Responsibilities include facilitating communication between the customer and internal departments during the RFP process, development of the contract and work scope during negotiations and managing contract changes throughout contract execution. This requires superior customer service skills, facilitation skills, communication, independent judgment, decision making, organizational skills and attention to detail to provide a high level of customer support and relationship management to KF Aerospace customers across all bases.

DUTIES & RESPONSIBILITIES
The Business Development Administrator is accountable for the following key areas:
Contract Administration & Communication
Responsible to generate a completed contract for service based upon the customer’s specifications and internal resources required in an accurate and timely manner. Responsible to ensure all affected departments have input into the process and receive accurate, complete and timely information on the contract terms. This will involve:
  • Close interaction with the customer to ensure an accurate and complete understanding of their requirements.
  • Developing a thorough understanding of the operational capacity and cost structure through regular consultation with other departments.
  • Gathering and consolidating data provided by other departments for the work scope, ground time, labour hours, labour rate, payment terms, schedules etc. for inclusion in the contract.
  • In conjunction with the MRO Billing department putting each prospective contract through a profitability assessment prior to final sign off
  • Ensuring appropriate communication regarding the particulars of the completed contract to affected departments by providing updates in the planning meetings, creating and distributing contract data sheets and ad hoc communication as required.
  • Managing changes that occur during the term of the contract and ensuring those changes are documented and approved in the contract and within M3 as well as providing appropriate and timely communication to affected departments.
Work Scope Generation
Responsible to accurately and completely capture the completed work scope within the contract. This involves:
  • Facilitating the exchange of information required between the customer, planning, maintenance, and materials management
  • Obtaining and documenting information from involved departments on accurate labour hour estimates, ground time, special tooling and material requirements, technical resources and other particulars within the work scope
  • Documenting any contractual changes to the work scope that occur within the term of the contract and communicating the same
On Site Customer Support
Establishing and maintaining positive customer relations throughout the project by:
  • Functioning as the point of contact for the customer on the service contract.
  • Responding to customer needs throughout term of project
  • Functioning as a hospitality coordinator for out of town customers
  • Proactively communicating any unanticipated major changes to the work scope to the customer and ensuring a clearly defined acceptable outcome
  • Working with the customer to ensure clear understanding of any financial impact to contract changes.
Follow up and Support
Ensures customer satisfaction and cultivates long term customer relationships with KF Aerospace by:
  • Conducting a review of the work scope and assessing customer satisfaction at the conclusion of the project.
  • Acts as focal point for warranty claims
  • Following up with the customer after completion of the project to determine aircraft reliability.
  • Conducting inter-project customer monitoring to build upon existing relationships
  • Functioning as focal point for future requests from existing customers
  • Developing and maintaining a customer database
  • In conjunction with Quality Assurance monitors and analyzes complaints from customers and recommends appropriate policies and programs to promote positive customer relations
Other related duties as required.
REQUIRED CERTIFICATION, EDUCATION, EXPERIENCE or SKILLS
  • Proven customer service skills; with a minimum of two years in a customer service role
  • Experience working with contracts is an asset
  • Related diploma or degree is an asset
  • Strong interpersonal skills
  • Demonstrated organization and prioritization skills
  • Proficient in project management
  • Intermediate computer skills
  • Strong verbal and written communication skills
  • Aircraft specific experience and understanding of basic commercial aircraft systems is an asset
