Manager, Corporate Services

Greater Toronto Airports Authority

Reporting to the Director, Human Resources and Corporate Services, this position is responsible for the planning, management and provision of Corporate Service programs and services across GTAA. The Manager will be responsible for managing a team of 6 Unionized staff. Responsibility will include servicing the GTAA Administration Building as well as other buildings at Toronto Pearson including terminals.

  • Manage, motivate and empower team of 6 unionize staff members
  • Orientates and directs new hires regarding job duties, cross-train within department, discuss and execute individual development plans to ensure success
  • Manages first impressions and first point of contact with all guests/visitors, visitor registration (people and parking), all incoming (main line) telephone calls for Toronto Pearson through reception, main entrance security by checking passes and verifying visitors, master key control, lost and found, loading dock and locker control program for the Administration Building
  • Manages internal/external mail deliveries and couriers, updates official corporate bulletin boards, records information management (paper), off-site storage, , shredding, box recycling programs, i-Directory, corporate boardroom program and set up, office supplies, as well as managing a fleet (75) multifunctional machines (photocopiers) and print management software and supplies (Print Audit, and PaperCut) on behalf of employees/departments throughout Toronto Pearson
  • Working in conjunction with IT and other departments regarding continuous improvement initiatives Responsible for corporation’s iOracle procurement and vendor management
  • Ensures the effective and accurate records management policies and procedures are in effect, safe guarding corporate information and the destruction of confidential material
  • Manages and delegates effectively to achieve high standards for the department and Administration Building
  • In conjunction with others from AD&TS (Airport Development & Technical Services department) and GCS&S (Governance, Corporate Safety & Security department), manages the Administration Building facility ensuring building is properly maintained inside/outside
  • First responder to audible door alarms in the Administration Building
  • Manage KPI (Key Performance Indicators) for Corporate Services’ group
  • Design and manage workflows for couriers, boardroom requirements including set-up and equipment
  • Designed, published and championed the mandatory LMS course for Records Management in conjunction with HR (Human Resources)
  • Commit to and deliver on the people manager promise to support and further the business’ vision through building and development of diverse, multi-skilled teams
  • Writes, issues, evaluates and negotiates contracts for six (6) product and service contracts (bottled and filtered water, multifunctional equipment (photocopiers) off-site storage, shredding (bi-weekly and annual destruction) for paper, media and clothing, mailing equipment and office supplies)
  • Continuously seeking opportunities to improve business processes and efficiencies while reducing cost
  • Final approval on all departmental invoices and expenses
  • Develop, negotiate and manage budget for Corporate Services department
  • Builds understanding and commitment by developing partnerships with vendors and managing the reoccurring Business Reviews
  • Manage Corporate Services contracts in Sirion (special software system) in conjunction with Finances’ CoE (Centre of Excellence) re vendor and supplier management criteria
  • Develop, publish, implement and continually update Business Continuity Plan and Business Resumption Plan
  • Identify and manage associated risks for Corporate Services and the impact on the organization in conjunction with the Corporate Risk department
  • Coordinate, implement and manage WINGS program (Geo Web Publishing program) for Corporate Services in conjunction with Engineering Data Systems (AD&TS) pertaining to bottled water locations, shredding and multifunctional (photocopier) equipment
  • Act as a SME on Committee/Working Groups related to Corporate Services functions
  • Lobby Refresh (Phase 1) and Boardroom redevelopment (Phase 2) projects for Administration Building
  • Corporate Security Program Working group – Security Policy Group related to procedures for reception, mail deliveries, etc;
  • Inspires others by providing ongoing support to all departments related to Corporate Services and the Administration Building
The salary for this management non-unionized position is competitive based on the successful candidate’s qualifications.

Qualifications

  • Post-Secondary diploma in business or related field with experience in Corporate Services or a related (an equivalent combination of work experience and education will also be considered
  • 3 to 5 years work experience in managing/supervising staff, with a demonstrated ability to lead and engage employees
  • Experience in managing/supervising staff in an Unionized environment
  • Experience in records management program administration
  • Experience in facilities management (but not real estate)
  • Contract/vendor/supplier management re Corporate Services contracts
  • Experience in managing a department budget
  • Valid Drivers’ License with clean driving abstract
  • Required to achieve Level 1 CRM (of 5) within 6 months of a start date
  • Must be able to obtain and retain Transportation Security Clearance

  • Strong negotiating skills with experience of preparing RFPs, evaluating, negotiating and awarding contract
  • Strong management skills with experience in contract/vendor/supplier management
  • Strong analytical and problem-solving skills, with the ability to troubleshoot problems that are complex and may involve multiple stakeholders
  • Strong verbal, written and listening skills
  • Strong organizational, time management and client service skills
  • Must be able to multi-task in a fast paced, ever-changing environment with constantly changing priorities
  • A role model with a high degree of professionalism, who is a self-starter, conscientious, reliable and flexible
  • Experience in collaboration with all partners (internal and external) efficiently and effectively
  • Strong understanding of archival and disposition of paper records (included in Level 1 Certificate re CRM)
  • Knowledge of Transport Canada/GTAA Ground Lease requirements and government legislation with respect to records retention
  • Excellent computer skills including (Microsoft) Enterprise Office 365 applications (2016 version), and Virgo (records management) software
