Enbridge Flight Operations Coordinator

 We are looking for a Flight Operations Coordinator that enjoys working in a fast-paced office environment. In this position, you will be responsible for the coordination and scheduling of the Company corporate aircraft and work closely with the flight crew to ensure a safe, effective, and successful operation as well as ensuring customer travel requirements are met. Here’s what you will do:

(B = Budgets, A/B = Admin/Budgetary, A = Administrative, O = Office, S = Scheduling, T = Training)

  • (S) Coordination of Enbridge both domestic and international, including scheduling (crew and aircraft), flight logistics, detailed itinerary, scheduled maintenance, amendments and completion of flights, monitor usage and improve utilization (this includes any/all passenger requirements).

  • (S)  Prepare documentation pertaining to the flight (flight advice sheet, customs forms, crew notification cards, etc.).

  • (S) Assist with travel arrangements for aviation staff.

  • (S) Manage catering logistics for flights.

  • (S)  Maintain and update aircraft and crew flight schedule (computer and hangar schedule board).

  • (S)  Primary contact and controller for the Enbridge Flight Scheduling Program & FOS.

  • (S)  Actively contribute to the success of the aviation team by consulting with leader on issues regarding the flight schedule and crewing or issues affecting customer requirements and suggesting efficiencies and improvements to team processes.

  • (S)  Primary liaison for booking of charter aircraft for Enbridge Inc., Enbridge Pipelines Inc. groups.

  • (S) Coordinate Cold Lake Weapons Range access for patrol aircraft.

  • (A)  Communicate with flight crew and aircraft maintenance and Enbridge personnel on a continuous basis.

  • (A)  Day-to-day management of the aviation site to ensure that the operational needs of the office are met and maintained in the absence of the FC.  Primary contact and coordinator with the corporate administrative office.  This also includes working with other various individuals, contractors, business clients and guests who frequent the aviation site.

  • (A)  Maintain the Department’s filing system.

  • (A)  Build and create documents/reports, Excel spreadsheets and Power Point presentations.

  • (A)  Support the Manager Aviation, Chief of Maintenance and Chief Pilot Rotary.

  • (A) Provide assistance as required to organize meetings and plan events.

  • (A) Third point of contact for Emergency Response.

  • (A)  Perform general administrative duties such as regularly scheduled staff meeting minutes and phone lists.

  • (A)  Enter, maintain and monitor time entry for all aviation staff (vacation and scheduled days off).

  • (A/B) Work with Microsoft Outlook, Excel, Word, Power Point and in-house applications such as PeopleSoft, Oracle I-Expense and Workforce Planning, Ops Cost variance reports and budget preparation.  

  • (A/B) Prepare weekly and annual reports for flight crews and staff.

  • (A/B) Assist Manager Aviation, Chief of Maintenance and Chief Pilot Rotary and other persons/groups within Enbridge with information gathering (for special projects).

  • (A/S) Maintain current information for the following aviation related programs and manuals: Approved Charter Air Carriers, CANPASS, eAPIS, Flight Operations Manuals, FOS, Enbridge Calgary Crisis Response Manual, Enbridge Emergency Response Manual, in the absence of (or in assistance to) the FOC.

  • (O)  Receive calls and process messages to various individuals within the Aviation Department.

  • (O)  Order supplies and shipping for FedEx & mail courier. Coordinate maintenance for office photo copiers and distribute mail throughout the Department as required.

  • (B) Monitor, assist and prepare monthly and annual budget reports for Enbridge Inc. & Pipelines Inc. (Ops Cost variance reports).

  • (B) Perform invoice processing (coding & approvals to $50,000).

  • (T)  Maintain valid First Aid and AED training certificates.

  • (T) Remain current on resources available and training opportunities to facilitate an effective scheduling operation.

  • (T) Attend Schedulers & Dispatchers Conferences or relevant training opportunities once per year.

Who you are:

You have the following:

  • Experience with working in corporate and/or general aviation environment

  • Flight Coordinator Aviation Dispatch experience preferred. Broad knowledge and understanding of all facets of flight operations including Emergency Preparedness and Responsiveness, route planning and Aviation Safety rules and Regulations.

  • Strong administrative background.

  • Ability to prioritize heavy workloads and be flexible to ensure that duties are completed in a timely fashion or in accordance with specified deadlines.

  • Demonstrated ability to work positively with others in a tactful and diplomatic manner.

  • Strong attention to detail with a focus on accuracy.

  • Employee that is ENGAGED, ENERGETIC and a SELF-STARTER who wants to be a contributing member of a dynamic and dedicated corporate flight department.

  • Ability to work independently and with little or no direction.

  • Understanding of, or the ability to learn quickly, advanced desktop computer skills including Microsoft Outlook, Excel, Word, Power Point and in-house applications such as PeopleSoft, Oracle I-Expense, Workforce Planning, Ops Cost variance reports, accrual processes and budget preparation.  

  • Demonstrated organizational, scheduling, planning, prioritizing and time management skills.

  • Ability to deal with multiple changing priorities.

  • Must understand that at times a great deal of effort will have been put forward for a task only to have it all altered and have to start over. 

  • Interpersonal skills, with the ability to build strong employer/employee and customer relationships, are essential. Capable of working and communicating comfortably at all levels of the organization. Professionalism and the ability to maintain confidentiality.

  • Believes in innovation and identification of process improvement opportunities.

  • Required to pass a Ministry of Transport Security Check for Transport Canada (Airport Restricted Area Access Clearance for Non-Public Service Personnel).

  • Holds a valid Canadian Passport.

  • Able to work in Canada as per Federal, Provincial and Company Labour requirements and regulations.

  • Understanding of aviation acronyms is an asset.
