G4S has been selected by the Canadian Air Transport Security Authority (CATSA) to secure critical elements of the air transportation system, and for the delivery of airport screening services including passenger, hold baggage and non-passenger screening for Vancouver and the Pacific Region.
We are currently recruiting for the following opportunity: TRAINING ASSISTANT (1 Year Maternity Leave - Contract )
Reporting to the Training Manager, the Training Assistant is to be a key point of contact for the training department providing effective and timely administrative support. Assisting in the daily operations for the training department, the Training Assistant supports employees in maintaining compliance with the clients’ standard operating procedures.
MAJOR RESPONSIBILITIES, but not limited to:
- Responsible for clerical duties related to the training programs and certifications.
- Maintain certifications, clearances and training record of all Screening Officers.
- Ensure all Screening Officers are kept activated and up to date in the Learning Management System (LMS) by scheduling Certifications and Re-certifications as needed.
- Liaise daily with the Training Manager to gather and enter information into the LMS
- Maintain and organizes training files
- Generate reports for management to present.
- Assist in the production and distribution of course joining instructions and evaluation forms for all internal and external course delegates as required
- Support the timely processing and production of payroll information related to training
- Assist in the Screening Officer reviews on a bi-annual basis
- Maintain stationery and training material stock levels for the training department
- Other duties as assigned by Training Manager.
EDUCATION, EXPERIENCE AND SKILLS:
- College Diploma or Postsecondary Certificate in related business skills.
- A minimum of 1-2 years of experience in administration assistance.
- A clear understanding of learning management and tracking systems for all training programs.
- Experience in the assistance of administering policies and programs.
- Flexible, versatile and thrives in a fast paced changing work environment.
- Ability to communicate effectively at a professional level.
- Pays close attention to detail and confidentiality.
- Excellent interpersonal, time management, problem solving and organizational skills.
- Knowledgeable with Microsoft Office including Word, Excel, PowerPoint and Sharepoint.
- Candidates must be able to be security cleared to Secret level.
