IMP is currently recruiting a Flight Coordinator who participates in the overall functioning of the Operational Control Center (OCC) on a 24/7, 365/366 days per year basis. This position ensures that trips for clients and charter customers are planned, organized, supported and handled accurately and efficiently. This position is central to effective communication between flight crew, management, fixed base operations (FBO), clients and customers, maintenance and grooming.

Responsibilities:
  • Adhere to the company’s policies and procedures.
  • Adhere to quality assurance (QA) of the FCC Department.
  • Use the CAMP reservations software to book aircraft flight schedules as requested by the customer.
  • Produce a Flight Manifest (including itinerary, passenger list and additional requirements) for each flight through the reservations software (CAMP).
  • Arrange for the arrival/departure reservations at airports as required.
  • Arrange for the customs, transmit E-Apis & Caricom for destination airports.
  • Organize ground servicing and handling (FBO) for the aircraft.
  • Arrange for crew and customer’s accommodation, ground transportation and catering.
  • Maintain database and CAMP up to date.
  • Post each flight upon completion.
  • Prepare reports as requested by internal staff and customers (i.e. TC report)
  • Prepare quotes on Charter requests; and maintain up to date quote statistics.
  • Organize charter and sub-charter flights including scheduling and all acquired services.
  • Organize the logistics for Charters (times, passenger names, ground transportation, catering etc.)
  • Provides on-going support, troubleshoot and resolve problems for all flights, as necessary.
  • Assist with crew inquiries on scheduling.
  • Arrange documentation for customs and visas for passengers and crew as necessary.
  • Arrange over-flight permits, landing permits and slots for airports where required.
  • Coordinate grooming as necessary.
  • Communicate with clients, customers and flight crew regarding upcoming trips, on-going trips and/or past trips.
  • Maintain open lines of communication during flights between aircraft/pilots and flight coordinators via emails, texts, PINs and phone calls.
  • Undertake various administrative duties as required.
  • Accomplish other assigned duties, as requested.

Qualifications:
Post-Secondary Diploma 
Proven organisational skills 
Proven interpersonal and communication skills
The post holder must be proficient in the use of Microsoft Office packages (MS Word and MS Excel are essential)
