NAV CANADA is currently seeking an experienced Executive Administrative Assistant who will provide executive and administrative support services to the Vice President, Pension Investments and Treasurer, and administrative services to the Pension Investments and Treasury team. The quality of administrative support impacts the efficiency and effectiveness of the department and relationships with internal and external partners and stakeholders. Accountabilities • Document management (monitor receipt of reports/documents from investment managers, banks and custodian; conduct follow up activities; organize and file documentation) • Correspondence management (creates tasks; monitor and follows up on action items; draft responses to internal and external parties) • Communicate and obtain information for and on behalf of the Vice President and other team members • Organize/coordinate meetings, maintain agendas and meeting schedules, record minutes of meetings as assigned • Provide project management support (assist with documentation of plan, ongoing and post-project reporting) • Make travel and training arrangements, assist with expense report preparation and plan group meetings • Manage leave and attendance • Coordinate the completion of the Pension Committee Board package • Coordinate documentation approval, transmission and filing (investment transactions, legal and tax documents, invoices, etc.) • Prepare presentations using PowerPoint, format and update materials for senior management and Committee/Board meetings using Word and Excel. • Participate in and provide support to Finance project teams and initiatives (e.g. Finance Manager Working Groups, SharePoint adoption strategy, etc.) Education Diploma from a recognized post-secondary institution Experience • 5+ years experience in office administration/working with senior management and/or busy teams • Experience working with MS Office in a business environment (Word, Excel and PowerPoint) Knowledge • Knowledge and understanding of NAV CANADA Abilities • Background/experience in office administration • Excellent MS Office skills • Experience working with SharePoint is an asset • Excellent interpersonal and communication skills • Excellent organizational and time management skills – able to manage multiple tasks • Ability to exercise sound judgment in setting priorities and dealing with confidential and sensitive issues Personal Suitability • Highly adaptable and flexible with ability to respond to rapidly shifting priorities and deadlines • Proactive and enjoys problem solving • Ability to work independently and in an team environment • Highly professional – ability to interact with various levels of management Language Requirements English (Bilingualism an asset) Security Enhanced Reliability The successful candidate must meet the security requirement of the position and be legally able to work in Canada.
